3.2 Project closure reflective report

The project closure report is the final document that displays all the features of the website. In order to prepare this project, initially I have analyzed the features of the existing websites of Archives. Then, I have planned for additional requirements those can eventually resolve the issues that are hampering the project outcomes. For redeveloping the website, I have thought of external hosting for update and post implementation changes. I think the website must add GET, POST, PUT and DELETE data using the concept of Application Programming Interface (API) within the allotted timeframe. Again the API must contain mix official records and user granted content as well. I think the website will be enough user-friendly, compatible, reliable and accessible. In addition to this, I have also thought about the privacy and security of the website which ensures that none of the unauthenticated user will be able to access data from the server.  The prototype or authentic design is approved by the project sponsor.

4. Project evaluation report and post implementation report

The final project evaluation and post implementation project implies the human resources, communication and stakeholder area associated to the project “redevelopment of the website of archives”. In order to reduce the workload from the project team members I have divided the total project in small segments and for each segment cost and human resources are allotted also. I think that, for developing the project open communication is the best way to communicate. It will help the project manager and the project team members to communicate with each other. The system developers are responsible to track the day to day technical upgrades. All those technologies should be incorporated to the newly developed system.

4.1 Ongoing risks

Risk summary

Proposed action

Financial risks

Due to incorrect feasibility study the developers faced major commercial risk

At the project initiation phase feasibility study should be done based on the project resources.

Communication error

Intra organizational conflict raised

Open communication should be implemented

Lack of security

Due to adoption of lack of encryption technology in the newly build website, outsiders can easily access data from the server.

Proper encryption algorithm should be incorporated

Web application error

Due to monitoring and controlling error, applications may fail to meet the requirements.

SLA and other license for running the application should be incorporated

Lesson learned

1

Before implementing the redeveloped website it is necessary for the project team members to analyze the existing system.

Meet the preliminarily prepared website objectives.

Positive

I have learned that, database reports for listing and exporting all user generated contents, website visitor statistics are needed.

2

Administration module should have to keep secure

It can remove rater edit all the user added contents.

Positive

Proper encryption mechanism must be incorporated to minimize the

3

Proper delivery of the website application and operation

Deliver a secured and efficient website to the users.

Positive

Proper delivery will lead to create proper orders for the orders.

5.2 Control and tools

6. Identification of skill development/training needs to be applied in HR communication and stakeholder management

In order to avoid organizational conflicts and develop the redesigned website for the consumer, proper training programs should be arranged and the applied programs are as follows:

Problem resolving and conflict resolving skills: It is essential for the project team members to have proper conflict resolving and problem resolving capability to make sure that the project is meeting its desired requirements. This skill is very essential as it will help them in reducing issues that the team members refer to various project documents.  Professional motivation and leadership of the project managers will help them to gain these skills.

Training and development program: Project training and development program should be arranged by the project manager to make the team members familiar to their job roles. Project managers should process knowledge regarding good conflict skills. Regular conversion and team conversation will help the project team members to keep themselves engage to their job roles.
