Background of the organization

Crown Melbourne provides hotel service in Australia and has a range of hotels throughout the country. Currently the organization has many hotel complex distributed throughout the country. The company faces problem regarding the management of the hotel rooms (ABC News 2017). Thus a web information system is required to be prepared for managing the customer and the hotel records such that the customers can book the hotel rooms and other service from remote location. The creation of the web information system would increase the efficiency of the current business process of the organization.

An analysis is done for gathering the resources required for the development of the project. For analysis the stakeholders associated with the organization are involved and a questionnaire is developed for understanding the requirement of the project and starts the development process efficiently.

Interviews: The CEO and the other top level management team are interviewed for finding the needs and the goals of the organization and build the web based information system. The interview is done for analyzing the budget of the project and time within which the project is required to be completed. 

Documentation: The requirement of the organization is documented and a project schedule plan is developed. The team members required for the development of the project is also documented for assigning roles and responsibility to them. The work break down structure is created for increasing the efficiency of the development process.

Reviews: The document prepared is required to be reviewed multiple times for aligning the project with the current needs of the organization. The reviewing of the project during the development process is important for eliminating the errors during the early stage of development.

Observation: The allocation of the resources and the utilization of the resources is required to be monitored during the development of the project and the project should be developed according to the project schedule. The different risk associated with the development of the project is required to be analyzed and a risk mitigation plan should be prepared for developing the project efficiently.

Questionnaires

  • Describe the current challenges faced by the organization for reaching a leading position in the market?
  • What would be the benefit that the organization can gain with the implementation of the project in the current business process?
  • What are the areas that are required to be focused for gaining competitive advantage of the current business?

The organization chart is prepared by researching on the Crown hotel and interviewing the top level executives. This would help to build a communication plan and identifying the roles and responsibility of the personnel’s of the Crown Hotel.

After analyzing the business requirement of the project it has been found that Crown Hotels have distributed their business throughout Australia and it includes hotel rooms, restaurant, upmarket bars, etc. Current if any customer needs to book the hotel they can contact using the telephone service or come physically to book the hotel. This decreases the efficiency of the organization and thus it has a requirement to implement the web based information system using which the customer can view the rooms and book the service they prefer.  

Background

Crown Melbourne has focused on building hotels and expands their business but with the increase in the competition the company is facing problem regarding the management of the system (Pemsel & Wiewiora 2013). Currently the receptionist face problem regarding the management of the records of the pre booked rooms and service and thus the information system is required to be developed to resolve the problems faced in the management process.

Process Undertaken:

  • A web interface is created for creating a link between the customer and the hotel
  • All the records of the hotels such as the tariffs, availability of the room, service provided, etc. is required to be stored in the database
  • The developed information system should be flexible according to the needs of the business.

Scope

The main goals and objectives of the organization are included for the development of the scope of the project. The project schedule is prepared after analyzing the scope of the project. The risk associated with the development of the project is also required to be analyzed for developing the project efficiently.

A feasibility study is required to be done for analyzing the requirement and develop the project

The database of the information system must be secured from any external access and should be encrypted

The web interface designed must be attractive and easy to use for increasing the customer relationship.
